Administration Associate
  
The Administration Associate is responsible for performing all day-to-day general office administrative functions and will also serve as back-up to the Operations Associate with respect to all client related back-office duties.
 
General Office Administration:
 
·         Handling all internal and external relationships with suppliers, building landlord and other tenants.
·         Managing office supplies and office hardware (excluding IT hardware) ensuring efficient procurement of same.
·         Continual risk assessment of company office internal practices in accordance with Health & Safety regulations together with the development of internal policies and procedures, training and protocols.
·         Provide training in business-wide compliance with Evacuation procedures.
·         Keep abreast of regulatory developments and industry initiatives and advice business accordingly.
·         Directly responsible for the day-to-day general office administration function.
·         Coordinating marketing events including Trade Fairs and printing of marketing documents, logistics, etc.
·         Management of Office Security systems.
·         Any other duties as required by Senior Management.
·         Serving as back-up to Operations Associate in respect of client related Back-office duties.
 
The ideal candidate should have:
 
·         Hands-on Administrative style with proven experience in similar position.
·         Good knowledge of office administration.
·         Methodical and accurate.
·         Effective communication skills with the ability to communicate internally and externally (suppliers, etc) at all levels.
·         People management, reporting and organisational skills.
·         Ability to equilibrate priorities and organise work effectively to meet deadlines.
·         Proactive and willing to take ownership of problems with attention to detail.
·         Good working knowledge of Microsoft Office (i.e. Word, e-mail, Excel).
·         Availability to travel when required.
