Job Details:
Our client, a Swedish company are seeking to recruit an Office Manager/Accountant with accounts experience for their new office in Malta. The company was founded in the late 1970’s and operates as a tonnage provider geared to the rapidly changing realities of the shipping industry.
 
The candidate will be responsible for:
 
Accounting
 
  • Accounting for purchase ledger, general ledger etc. in (SAGE) for all companies
  • Accounting for purchase ledger, general ledger etc. in Visma
  • Control of charterers disbursement accounts
  • Prepare monthly accounts, reconciliations etc.
  • Prepare Financial Statements and supporting documents for audit
  • Assist with budgets, analysis
 
Purchase invoices
  • Scanning of purchase invoices into Eyesys and sending out for authorization (made in system via e-mail). About 500 invoices p.a. and the other companies together maybe 20-30.
  • Recording in accountings system (Eyesys linked to Visma)
  • Paying of invoices via electronic banking
  • Payment of cash to Master on board
 
Invoicing (limited)
Invoices probably only for group re-charges
 
  • VAT and NI & PAYE for office staff, taxes
  • Prepare VAT returns and pay/collect net
  • Prepare NI/ & PAYE returns for office staff and make payments
  • Pay corporate taxes if any
  • File tax returns, at least for non-trading companies (this, together with tax compliance could be a later requirement)
 
Company secretary duties and Registered address
 
  • The intention that staff in the office can act as company secretary (subject to rules in Malta) and the office as registered office in order to save external cost for this service
  • Make all required filing for the Maltese Companies House
 
Board meetings
 
  • Prepare/print out documents for meetings
  • Book travel & hotel for meeting
  • Prepare minutes and save minutes, travel documents etc.
 
 
 
 
Administration of office and back-up for Group
 
  • There will probably be other requirements in the group for back-up service for example from the insurance company, other Swedish companies (accounting).
 
Experience
 
  • Previous experience in accounting - minimum management accountant or financial controller
  • Accounting software preferably Visma
  • Reconciliations, reporting and analysis
  • Preparation of annual accounts including documentation for audit
  • Preparation of Financial Statements
  • Preparation of tax returns
 
Requirements
 
  • English fluent in both speaking and writing
  • Microsoft office package (mainly Excel and Word)
  • Visma (or similar accounting system)
  • Eyesys (not a requirement but would make it easier)
 
Considered an asset
 
  • Any accounting education
  • Swedish speaking or high level of understanding
 
Personality requirements
 
  • Well organized
  • Able to plan and meet deadlines
  • Able to take responsibility (in this case the overall function of the office)
  • Not afraid of taking on new duties and challenges
  • Ability to liaise with Swedish office and possible Master/CE onboard
